Roll call determined that we had 7 of 10 section representatives present (including the Student Rep). (Note that although this constitutes a quorum for general business, it is not sufficient to allow voting on any motion to allocate funds from the Region J Convention & Conference Travel Fund. The policy for use of those funds requires 2/3-majority approval. See additional information in the discussion of this motion later in these minutes.) We reviewed the proposed agenda and did introductions. Jude presented the Region Treasurer’s Report in Sandy’s absence, which shows the Region J fund balance is $2,462.93 as of June 2, 2001. For a copy of the report, contact Elayne (Sandy) Brower, Region J Treasurer, at  HYPERLINK mailto:embrower@aol.com embrower@aol.com Allison Ratliff, from the Council of Section Representatives (CSR) Transition Task Force, presented information about the progress of the task force. The final report was provided in the CSR package. The task force has recommended that the CSR should provide direction for the Society, rather than be merely the Society’s rules/decision making body. A new seating process and seating arrangement will be tried at this year’s CSR meeting, still using Roberts Rules of Order but calling recess from that process so that issues can be discussed more freely. Jude then returned to the consent agenda. Wanda Munn moved to accept the minutes of the October 2000 Boise Region Meeting. Peggy Koch seconded. We discussed upcoming region officer candidates. Deputy Director -- Shelley Richards has agreed to continue in her role as Deputy Director. Secretary -- Diane Wood is willing to continue as Secretary (Wanda Munn moved to nominate Diane, Suzanne Hakam seconded). Treasurer -- Sandy Brower is willing to continue as Treasurer (Isabelle French moved to nominate Sandy, Margaret Pritchard seconded). National Nominating Committee -- Jude nominated Lynn Daniels to represent Region J on the National Nominating Committee. Jennifer Carter seconded the nomination. Region Web Master -- Angie O’Gorman volunteered for this task. Newsletter Editor – Suzanne Hakam volunteered for this task (and it was agreed that she would produce 2 newsletters per year) Margaret Pritchard moved to close the nominations and Wanda Munn seconded the motion. Lynn Daniels moved to accept the slate as presented and Wanda Munn seconded. Laura Gramann later volunteered to be the Region representative on the National Membership Committee. Additional discussion – Nancy Randall will be the PNW section Point of Contact for the April 2002 Region J Conference, to be hosted by the Univ. of Washington in Seattle. Lynn Daniels is advocating including a career fair at the Region Conference. Margaret Pritchard noted that the AAUW (American Association of University Women) may have funding that we could access if we were members of that organization. Jude took an action to work with Nancy Randall to identify a fund raising focal for the region. Laura Gramann presented information on the National Section Vitality Task Force, a pilot program funded in part by an Exxon grant. Laura is the Region J representative on the task force (a 2-year commitment). Task force members were recently trained in the various modules to be deployed. Laura has funding to travel to 1 section within the region and will be able to travel to Seattle on her own time to present it there. Diane Wood accepted an action to send Charlotte Wagner’s report on Section Revitalization to all section presidents. It was suggested that all section newsletter editors publish a list of region committee representatives. Suzanne Hakam, Region Student Coordinator, reported on the status of the region’s student sections. She noted that Natalie Tesch is the incoming (FY02) Region Student Coordinator. There are 17 student sections within Region J with a total of 254 members in FY01. Attached is Suzanne’s report, which notes that the following student sections are in need of Section Counselors: Univ. of Idaho, Montana Technical College, Montana State U, Oregon State U., Walla Walla College, and Idaho State U. Meredith Stewart presented a motion: To approve the disbursement of $480.00 from the Region J Conference Travel Fund, to Meredith Stewart, Region Student Representative, for travel expenses and conference registration at the National Conference in Denver Colorado, June 2001. Friendly amendment – To approve the disbursement of funds not to exceed $480.00 from the Region J Conference Travel Fund, to Meredith Stewart, Region Student Representative, for travel expenses and conference registration (actuals) at the National Conference in Denver Colorado, June 2001. Lynn Daniels seconded the motion as amended. It was noted that there is currently $814.98 in the Region Travel Fund, but there was some question about whether that included all contributions. The Treasurer’s Report included a $143.00 assessment from “PNW & Willamette Valley” but Angie O’Gorman thought that the PNW contribution alone was $143. Jude accepted an action to clarify this with Sandy. This was later clarified – PNW contribution was $122, Willamette Valley was $21. Sandy agreed to break this out by section next year. Wanda Munn called for the question and the motion passed. Note that after the meeting when I realized that we needed a 2/3-majority to pass this motion (per the procedure), I sent the motion out for a vote by section representatives not present on June 29 and received the 1 additional vote needed to gather the 2/3 majority and pass this motion. Wanda Munn suggested that we resolve these funding issues prior to the Conference, so that student reps know if they are funded or not before spending the money. Diane took the action to request the motion 3-4 months prior to Conference. Review of motions to be discussed at CSR.
