Responsibilities of the CPC require attending meetings throughout the year and leading meetings with the other CPC Co-Chair, especially iif the other Co- Chair of CPC cannot be in attendance. For the Baltimore National Conference thethe Chair and other Co-Chair could not attend the CPC meeting. Therefore, Karen had to lead the CPC meeting at National Baltimore Conference. Around 1 week prior to conference, it was determined that there was a conflict and that the Lt. Governor (Eileen Velez-Vega) would run the Region D meeting at the National Baltimore Conference. Alyse was assured that the appropriate material was passed from the Region D Governor to the Lt. Governor so that she could run the meeting. Discussion Comment: Concern with lack of communication; suspect that Lt. Governor tried to have communication with the Governor at leadership turnover; question of why the Lt. Governor did not attend the Governor’s meeting at the National Baltimore conference if it was known that Lt. Governor would be running the Region D meeting. Lt. Governor was not provided any information on the slides that were to be presented at the Region D meeting. No agenda was distributed in advance. Karen Horting, Alyse, and Karen Ramsey Idem knew prior to the conference that Karen wouldn’t be able to lead the Region D meeting due to the meeting conflict. Alyse believed that Karen passed information on to the Lt. Governor (Eileen). Karen felt that Eileen didn’t need to attend the Governor’s meeting at national conference. Eileen was notified that she was to run the meeting at the leadership luncheon on Wednesday at the National Baltimore Conference. Regional Officers met at 0700 a.m. on the Thursday (day of Region D meeting) to review the agenda. Eileen did not see the slides only the word draft agenda document. Comment: Chaos is the only word to describe the Region D meeting. Did not understand why Karen didn’t send the COR a communication that the Lt. Governor was going to be running the meeting. Multiple conversations have taken place with Karen Ramsey Idem and Virginia; Karen realizes that she has not served the Region as she should’ve. She has had multiple things happened this year including new roles and responsibilities at work that she did not foresee. The CPC position has taken more time than expected this year due to developing a strategic plan, etc. Karen has put some things into place to change what happened at National Conference. Karen is working to get the Region Officers together on conference calls to open lines of communications, etc. In the past Virginia has seen people not step up and try to correct issues but walk away. Karen is trying to make changes and move forward. Karen is developing a communication plan. At election time, Region D membership was not informed of CPC Co-Chair role. Karen’s intent is to keep both CPC Co-Chair and Region Governor roles. If after a period of time Region D membership feels that Karen is not serving membership then she would step down as Region D Governor role. ACTION: Alyse will contact Karen and have her distribute her communication plan and actions that she will be taking within the next week. (Due Date: 12/7/08) Comment: Region D has not had good communications in the past; after BOD meeting and monthly BOD conference calls Governor gets some information as to what is going on in the society, give updates, etc. Prior to the conference, communication should have been distributed to the membership regarding the time of the student and professional meetings, draft agenda, etc. By-laws changes were not discussed amongst all sections of Region D. Minimum Expectations Governor communicates with the officers, COR and section presidents. Bi-weekly conference calls with the Region officers and COR/section presidents are being scheduled. There is a plan for Eileen and Karen to communicate more frequently. BOD have monthly conference calls (Next call 12/18) ; Governors have monthly conference calls (Next call 12/8); Virginia Alyse distributes weekly emails to Governors with updates; Communication has taken place since the Governor training in June.
