R! ttttRegion J Meeting, October 21, 2000 2000 Region J Conference, Boise, ID Jude Garzolini, Region J Director, called the meeting to order at 2:52 pm. Roll call determined that we had 6 of 11 section representatives present. Although this constitutes a quorum for general business, it is not sufficient to allow voting on any motion to allocate funds from the Region J Convention & Conference Travel Fund. The policy for use of those funds requires 2/3-majority approval. We reviewed the proposed agenda. Lynn Daniels moved that the agenda be accepted as presented. Wanda Munn seconded. The Region Treasurers Report was distributed, which shows the Region J fund balance is $1955.39 as of October 5, 2000. For a copy of the report, contact Sandy Brower, Region J Treasurer, at  HYPERLINK mailto:embrower@aol.com embrower@aol.com Lynn Daniels, PNW Section Rep, presented a motion as follows: Motion: To approve the disbursement of $275.00 from the Region J Convention & Conference Travel Fund to Meredith Stewart, Region Student Representative, for travel expenses and conference registration at the Region J Conference in Boise, ID, Oct. 20-22, 2000. Discussion A question was asked about the possibility of other available funds, especially corporate funds. Brenda Erskine accepted the action to check with the Conference Committee to see if any corporate conference funding is available and to provide the information to Diane Wood so that the amendment can be modified as appropriate to cover the amount not available from those possible corporate conference donations. Peggy Koch moved that we accept a friendly amendment to cover possible corporate donations. Motion with friendly amendment: To approve the disbursement of funds not to exceed $275.00 from the Region J Convention & Conference Travel Fund and in excess of funds available from corporate donations to the 2000 Region J Conference, to Meredith Stewart, Region Student Representative, for travel expenses and conference registration at the Region J Conference in Boise, ID, Oct. 20-22, 2000. Discussion: Since no quorum is present, the vote will be conducted electronically once determination of available convention funds is completed. Board of Directors (BOD) Meetings 1 & 2 Updates (Jude) Jude accepted an action to send out the approved BOD #2 meeting minutes. Highlights include: Fund Development Workshop for a copy of the workshop notes, contact Diane Wood or Jude Garzolini. Action to Diane to get a copy from Jude and provide it to Pam Ankrum. Annual conference transition to October in Detroit 2002, Birmingham in 2003. So far, there has been no discussion of changing the Societys fiscal year to coincide with conference. It was noted that there is a Society requirement for the Council of Section Reps to meet annually. It was also noted that moving the National Conference to October will conflict with the Region Conference, also usually held in October. A committee of Region members will be tasked with looking into how to resolve this conflict. Section Vitality Scoresheet Shelley Richards has a section vitality scoresheet and would like for 3 sections within the Region to participate by filling it out. The National budget for FY01 will be transitioned to QuickBooks. With respect to membership problems with National (takes too long, membership errors, etc.), they are planning to send out a Request for Proposal for electronic membership tools (for new and updated memberships). Goal Management at the National level, 3 vice presidents, the secretary, and the treasurer each act as a committee chair and goal manager. Lynn Daniels is the Goal Manager for Region J. Policy and Interpretation Draft Shelley Richards handed out copies of the draft P&I to each section for their review. The objective of this document is to capture both current region policy and region history. It was noted that this document, once completed, needs to be put under configuration control and posted on the Region web site with the bylaws. Shelley Richards accepted the action to send the P&I out via email to section reps and section presidents. Diane Wood accepted an action to talk to Elly Leaverton, Region J Gatekeeper, about putting together a Region J list-serve (email list). Pam Ankrum presented an overview of the Organizational Task Force activities. The task force is reviewing the CSR structure and duties. She noted that a professional team was tasked by National to look at the CSR structure and reported that we lack a strategic plan and goals. It was decided that the following questions need to be answered: What do we see as the current CSR function? What should the CSR stop doing? What should the CSR continue doing? Jude requested that 2 committees be organized: Region Restructure Committee to refocus and strengthen the interaction between student and professional members Region Conference and Meeting dates to determine the appropriate date to optimize interaction with the National Conference to be held in the fall starting in FY 2002 Next years Region Conference will be sponsored by the University of Washington Student Section in Seattle. Laura Bogusch of the PNW section volunteered to help the students plan this event. If there are members interested in participating or chairing either committee, please contact Jude at jude_garzolini@hp.com. It was noted that the Region A/B/J Conference will be held on May 19, 2001, probably in San Diego (hosted by the S. Cal section). Section Highlights from around the region: The Pacific Northwest (PNW) section has its programs planned for the year, including an Awards Banquet in May. The PNW section is always looking for more committee chairs and volunteers! The Eastern Washington section also has some successful programs, including their traditional first meeting of the year where 3 members present 15 minutes of information on themselves and their current projects. They also continue their Certificate of Merit program and are conducting more round table discussions where the focus is on getting to know one another and having fun! The Southwestern Idaho section is conducting 3 networking events this year and supports Micron Technologies mentoring program. Jennifer Moldaschel Carter moved that we adjourn the meeting at 4:20 pm.
